The Winnipeg Winter Club (the “Club”) is committed to protecting the privacy of its members, guests, and employees. This policy outlines how personal information is collected, used, stored, and protected in accordance with the PIPEDA (Personal Information Protection and Electronic Documents Act).
Information We Collect
The Club collects personal information necessary to manage membership and deliver Club programs and services. This includes:
• Name and contact information
• Date of birth
• Emergency contact information
• Membership status and account history
• Program registrations, bookings, and event participation
• Billing and payment information (while being PCI compliant)
• Communication preferences
• Photos of members age 12+
When using the Club’s website, member portal, or mobile application, we may also collect account activity, device information required for secure operation, usage data on how members interact with the online and app features, and location information if location services are enabled by the user. Location services are optional and may be turned off through device settings.
How Information Is Used
Personal information is used to:
• Establish and manage membership accounts
• Provide access to facilities, programs, and services
• Process payments and maintain account records
• Manage bookings, registrations, and events
• Register Club ownership through the Share Registry
• Communicate Club updates and important information
• Support the safe and effective operation of the Club

• Process payroll and associated mandatory employment-related deductions
Sharing of Information
The Club shares the member roster with members via online services.
Where personal information is shared with partner organizations to support Club programs or services, such information may be used only to fulfill those services. Partner organizations are contractually prohibited from using member information for independent marketing purposes or from sharing it with any third party.
The Club does not sell personal information.
Digital Services
The Club uses Jonas Club Software to manage membership information, billing, online services, and the Club’s mobile application. Personal information may be stored within this secure system to support account management, bookings, communications, and optional location-enabled features.
Members are responsible for maintaining the confidentiality of their login credentials.
Payments
Credit card transactions are processed through secure systems that comply with the PCI DSS (Payment Card Industry Data Security Standard). The Club does not store full credit card numbers in accessible systems.
Website and Cookies
The Club website uses cookies and similar technologies to support website functionality, remember user preferences, enable secure access, and provide general, non-identifiable information about website usage. Cookie settings may be managed through a user’s browser.
Access, Confidentiality, and Safeguards
The Club takes reasonable administrative, technical, and physical measures to protect personal information.
Apart from the online member roster of names, which is accessible only to members, employees, and service-delivery partners, access to personal information is limited to Club employees who have a legitimate business need-to-know or whose duties reasonably require such access.
Safeguards that protect digital storage of information includes but isn’t limited to password protection, anti-virus protection, staff training, and restricted access to the server.
Hard (paper) copies of personal information, payment information, and payroll information are stored in a locked file cabinet, in a locked office.
Personal information is retained only as long as necessary for operational, legal, and financial purposes and is securely destroyed when no longer required.
Access
Individuals may request access to or correction of their personal information.
Consent and Updates
By maintaining membership or using Club services, including the website, portal, or mobile application, individuals consent to the collection and use of personal information as described in this policy.
